Cross references match your item numbers and descriptions with, for example, pre-printed barcode labels, UPC codes on packaging and common descriptions not otherwise used in the Tracker. If you buy something from several vendors or manufacturers, each of which uses a different number, you can cross reference the item with any or all of those numbers.

A cross reference can refer to an item number or description but not both.

Every item number and description can have as many cross references as you like.

Cross references work in the Fast add to cart, Orders and Count or verify screens. They don't work in the Find and add to cart screen.

Cross references can be imported.

ADD CROSS REFERENCES

Add item-specific cross references in the Items screen.

  • Click the Data icon in the main menu then Items.
  • If the view that appears doesn't include cross references as a subgrid, click the Tools icon in the grid menu, Views then with cross references.
  • Click in the main grid on the item you want to add a cross reference to.
  • Click the Add icon in the subgrid menu.
  • Enter the cross reference in the REFERENCE NUMBER column.
  • Click the Save icon in the subgrid menu.

Add description-specific cross references in the Descriptions screen.

  • Click the Data icon in the main menu then Descriptions.
  • If the view that appears doesn't include cross references as a subgrid, click the Tools icon in the grid menu, Views then with cross references.
  • Click in the main grid on the description you want to add a cross reference to.
  • Click the Add icon in the subgrid menu.
  • Enter the cross reference in the REFERENCE NUMBER column.
  • Click the Save icon in the subgrid menu.

EDIT OR DELETE CROSS REFERENCES

  • Click the Data icon in the main menu then Cross references.
  • To edit, click the Edit icon in the grid menu in the upper right. If you click in the record or the field in the record you want to edit first, the cursor will appear in that record or field.
  • After you click the Edit icon, the grid menu changes.
  • Click the Save icon to save, the Cancel icon to undo any changes you've made since your last save.
  • Clicking the Edit icon puts you in editing mode. Once in editing mode, you can edit as many records as you like but can't change your search or move to a different page until you save or cancel.

  • To delete, select the record(s) you want to delete by clicking checkbox(es) in the left-hand margin of the grid (you can select more than one) then click the Delete icon in the grid menu.

You cannot edit the item number or description a cross reference refers to. If you want to do that, delete the cross reference and add a new one that refers to the correct item number or description.


USE CROSS REFERENCES

  • Enter at least 3 sequential characters, numbers or punctuation marks from the cross reference in the Fast add to cart SEARCH field, the Orders subgrid ITEM ID field or the Count or verify ITEM field and press the ENTER key on your keyboard.

FIELDS

  • (Cross references grid) REFERENCE NUMBER. The 'number' or label that's cross-referenced. Can include characters, numbers, spaces and punctuation marks.
  • (Cross references grid) MANUFACTURER ID. Optional.
  • (Cross references grid) VENDOR ID. Optional.
  • (Cross references grid) ITEM ID. The item number the reference number refers to.
  • (Cross references grid) DESCRIPTION ID. The description the reference number refers to.

SYSTEM VIEWS WITH CROSS REFERENCES IN A SUBGRID

  • In the Descriptions screen, the with cross references view displays, in the subgrid, each description's cross references.
  • In the Items screen, the with cross references view displays, in the subgrid, each item's cross references.
  • In the Manufacturers screen, the with cross references view displays, in the subgrid, each manufacturer's cross references.
