If any alerts are active, a banner will appear when you sign on to the Tracker.

To open the Alerts screen, click alerts in the banner or the Utilities icon in the main menu then Alerts.

Alerts

  • Item alert. A user-defined, date-based alert in the Items screen. Used for vehicle registrations, warranty expirations, etc. Emails can be sent to selected people when the alert trips. Click to the left of an item alert and the Items screen will open.
  • Item <= order point. An item is at or under its order point. Emails can be sent to selected people when the alert trips. Click to the left of an order point alert and the Order points screen will open. If want to order the item that generated the alert, click that alert, the Tools icon in the grid menu, Macros then Add to cart.
  • Maintenance due. An item has maintenance due. Emails can be sent to selected people when the alert trips. Click to the left of a maintenance due alert and the Maintenance due screen will open.
  • Maintenance missing. You have items with maintenance schedules but no repair history. Click to the left of the maintenance missing alert and a list of items will open. Click to the left of an item and the Items screen will open. If you want to add the missing maintenance to the Repairs screen, click the Tools icon in the grid menu, Macros then Create repair record(s) for missing maintenance.
  • Order needs to be fulfilled. An order is added to the alerts list if its expected commence date is yesterday, today or tomorrow. Emails can be sent to selected people when the order is placed. Click to left of an 'order needs to be fulfilled' alert and the Orders - assignments screen will open.

Alerts are added by a batch process that runs at night.

Once an alert is added, it stays in the alert list until the underlying data is changed or the alert is deleted.

You can hide alerts, but hidden alerts are still in the list.

EDIT AND DELETE ALERTS

Users can't add alerts in the Alerts screen. They're added by a program that runs at night.

  • Click the Utilities icon in the main menu then Alerts.
  • To edit, click the Edit icon in the grid menu in the upper right. If you click in the record or the field in the record you want to edit first, the cursor will appear in that record or field.
  • After you click the Edit icon, the grid menu changes. Click the Save icon to save, the Cancel icon to undo any changes you've made since your last save.
  • Clicking the Edit icon puts you in editing mode. Once in editing mode, you can edit as many records as you like but can't change your search or move to a different page until you save or cancel.

  • To delete, select the record(s) you want to delete by clicking checkbox(es) in the left-hand margin of the grid (you can select more than one) then click the Delete icon in the grid menu.

ADD AN ITEM ALERT IN THE ITEMS SCREEN

Item alerts, which trip when the date you specify is reached, can be used for vehicle registrations, warranty expirations, calibration schedules, etc.

An item can have just one item alert. If you need more and don't have the Tracker repair and maintenance module, you can use user-defined fields and searches to simulate alerts, but they won't be automatic: you have to run the search. If you have the Tracker repair and maintenance module, each item can have as many maintenance types as you like, each of which will trip a maintenance due alert.

  • If you want to send email(s) when item alerts trip, your organization manager needs to check Email upon item alert in the Preferences screen (instructions below).
  • If you can edit in the Items screen, you can add and edit item alerts. Click the Data icon in the main menu then Items.
  • If alerts aren't displayed in the Items grid, click the Tools icon in the grid menu, Views then Lists alerts rates.
  • Click the Edit icon and edit these fields:

  • (Items grid) ALERT DATE. The alert's due date.
  • (Items grid) ALERT WARNING. The number of days before the due date you want the alert to trip. If you want the alert to trip on its due date, leave this blank or enter zero.
  • (Items grid) ALERT EMAILS. If you want to send email(s) when an item alert trips, select one or more Tracker users from this list (select more than one using the standard techniques for your device, for example, in Windows, click one user then hold down the Ctrl key and click a second user).
  • (Items grid) ALERT MESSAGE. The MESSAGE you see in the Alerts screen will automatically be included in alert emails. Type anything you want added to that here.

SEND EMAIL WHEN ITEM, MAINTENANCE DUE and ORDER POINT ALERTS TRIP

  • Only organization managers can see and edit notification preferences. Click the Utilities icon in the main menu, Preferences then the Notifications tab.
  • Check the options (listed below) that interest you. If an option includes a list of Tracker users, select one or more using the standard techniques for your device, for example, in Windows, click one user then hold down the Ctrl key and click a second user.

  • Email upon item alert. The alert date, message and email addresses are entered in the Items screen.
  • Email the users selected below upon maintenance due alert.
  • Email the users selected below when an order point is reached.

HIDE ALERTS

You can hide alerts, but hidden alerts are still in the list. To remove them entirely, delete them.

  • Edit the alert you want to hide by checking the box in its HIDE field.
  • Click the Search icon in the grid menu then Hide.
  • Make Hide your default search if you want the Alerts screen to appear, when you first open it, with hidden alerts not listed.

FIELDS

  • (Alerts grid) TYPE. Can't be edited by a user.
  • (Alerts grid) MESSAGE. Can't be edited by a user.
  • (Alerts grid) EMAIL SENT. The date alert emails were sent. Can't be edited by a user.
  • (Alerts grid) HIDE. Used with the Hide search to selectively hide alerts.

MACROS

  • (Alerts grid) ADD TO CART. Works with order point alerts, only. Adds the selected item to the Cart.
